Ownership Verification Process
TractIQ is used by many as a prospecting engine to find:
- “Off market” opportunities – investors looking to buy facilities that are not listed publicly for sale.
- Get listing opportunities – brokers looking to convince owners to list their facility publicly for sale
- Product/services transactions – vendors (third party management, insurance brokers, lawyers, door manufacturers etc) looking to find facilities in need of their product/service.
As such, it’s critically important that TractIQ has strong coverage and accurate ownership information for facilities.
1. High-Level Process for Identifying Parcel Ownership
Our goal is to determine the true owner or key decision-maker associated with a self-storage parcel. The process focuses on validating the legal entity that owns the facility and identifying the individual(s) behind that entity who hold decision-making authority.
High-level steps:
- We start with the legal entity (LLC) listed for the parcel
- Search public records and business registries to identify true ownership and key personnel
- Look in internal databases to see if we already have information for an owner or company
- Cross-check findings across multiple trusted data sources to confirm accuracy.
- Capture the most relevant ownership contact, prioritizing individuals in acquisition or executive roles.
- If uncertain about any information, we leave the field blank rather than guessing.
2. Who is Considered an “Owner”?
An “owner” refers to the individual(s) with clear authority over the business entity owning the storage facility. This typically means someone with executive, ownership, or real estate investment decision-making responsibility.
This includes:
- LLC Members or Managers (not registered agents).
- Principals, Partners, or Founders of the owning entity.
- Executives with real estate investment authority.
- Acquisition or investment decision-makers.
- For small firms: CEO or President when no acquisitions lead exists.
- Brokers are often included for on-market facilities though they will be labeled as the broker.
We do NOT record the following as owners unless confirmed through another source:
- Registered Agents
- Generic state filing titles such as “Governor”, “Executor”, or similar legal representatives
- Individuals unrelated to ownership (e.g., accounting or compliance contacts)
